Sagafjord ApS – The fine print

At Sagafjord, we want your event to be a great experience. That’s why we’ve put together the most important information and rules here, so you can easily get an overview.

The rules apply to:

All groups over 14 people as well as all groups that have booked a salon.

Deposit

Once the booking confirmation is received, we will send you an email with the account number/payment link to pay the deposit. Please note the deadline, as the reservation will be automatically canceled if the deposit is not received within this period.

Practical information for your company

  • Address:
    Sagafjord sails from Vindeboder 18, 4000 Roskilde. We recommend arriving at least 15 minutes before departure, as the ship leaves on time.
  • Parking:
    Available at the Viking Ship Museum / Roskilde Harbor. On Fridays and Saturdays, spaces can fill up quickly, so it’s a good idea to arrive early.
  • Menu choices and allergies:
    At least 2 weeks before the event, you need to inform the booking department about your menu choices as well as any allergies or special requirements (phone: 46 75 64 60).
  • Payment:
    We accept a maximum of one payment card per company. Events booked by associations or travel agencies must be settled together. Unfortunately, individual payment for drinks is not possible for groups and companies. It is possible to receive an invoice if this has been agreed in advance.
  • Minimum number of participants:
    For sailings where fewer than 24 tickets have been sold, Sagafjord reserves the right to cancel the sailing the day before, but no later than 3:00 PM. If you have booked and paid for a salon rental, however, we will sail regardless of the number of participants.
  • Bringing equipment:
    Please let us know in advance if you are bringing a walker, a regular wheelchair (electric ones cannot be brought), a stroller, or a pushchair.
  • Children on board:
    For the sake of the kitchen, please let us know the number of children (under 12 for the menu, and under 10 for sailing). Please let us know if the children want a kids’ menu.

Cancellations and changes

Cancellations must be made in writing to: Booking@sagafjord.dk.
If you do not receive a written confirmation within 24 hours, please contact us by phone: 46 75 64 60.

For groups of 14 people or more:

  • At least 4 weeks before:
    If you cancel earlier than 4 weeks before the event, the full deposit will be refunded.
  • At least 2 weeks before:
    If you cancel earlier than 2 weeks before the event, 25% of the price for the canceled services will be charged (but not any pre-ordered drinks).
  • Between 6 days and 2 weeks before:
    If you cancel, 50% of the price for the canceled services will be charged (but not any pre-ordered drinks).
  • Later than 6 days before:
    For cancellations, 75% of the price of the canceled services will be charged (but not for any pre-ordered drinks).
  • No show/absence:
    If you don’t show up without prior written cancellation, the full price of the event will be charged (except for any pre-ordered drinks). You pay for both the sailing fee and the food.

For specially made agreements for drinks, full price will be charged in case of no-shows, as well as the mentioned percentages above.

Illness on the day:
In case of illness on the day (for individuals), 50% of the ticket price is paid (but not any pre-ordered drinks). Sailing tickets are non-refundable.

Reduction in the number of participants:
The number can be reduced by up to 50%, no later than 4 weeks before the event, and can be reduced by up to 10% no later than 6 days before, in both cases at no cost.

For larger events, separate cancellation deadlines can be arranged.
